Bookings by channels

Aim of the report:

This report is designed to help you track reservations based on their source and monitor the commission amounts related to these reservations.

 

Filtering options:

Date picker: You can select a date range from predefined options or choose a custom range. There are no restrictions on the date interval, allowing you to select both future and past dates.

Check-in / Check-out / Nightly filter: This filter determines which reservations are included in the report based on their check-in or check-out dates or nightly option within the selected period.

Example:Check-in date of the booking: 31st August 2024
Check-out date of the booking: 2nd September 2024
Date picker: 1st - 30th September 2024
Filtering for check-in dates: The booking will NOT be included in the report.
Filtering for check-out dates: The booking will be included in the report.
Filtering with nightly option: only those nights of the booking will be considered that fall into the selected date intervall, in this case: 1st of September and 2nd of September

When using the nightly option, please make sure to select a period longer than 1 night and avoid using the predefined " today and tomorrow " options in the date picker, as this combination of filters is not relevant.

Include extras checkbox: To include additional services and not just accommodation items, use the 'Include extras' checkbox. By default, this checkbox is unchecked. When checked, it affects both the confirmed & option (ADR and Sum Price data) and the cancelled & no-show tables (Sum Price date), adding the NET value of services ('Derived' and 'Not included' types) to the accommodation NET value.

Status filter: By default, the report includes all reservation statuses. However, you can exclude specific statuses using the 'Status' filter.

 

Report Layout

The report consists of two tables and two pie charts:

  • Bookings by channels (Confirmed, Option)
  • Bookings by channels (No show, Cancelled)

The pie charts display the distribution of revenue by partners.

 

For accurate data, ensure sales partners are set up in the Settings / Partners menu and attached to the channel when completing channel connections.

 

Bookings by channels (Confirmed, Option) table

The row highlighted in the table will be used as an example.

  • Partner Name: The name of the partner assigned to the reservation. If no partner is assigned, it will be categorized as 'Own sales'.
  • Number of Bookings: The number of confirmed and option status bookings associated with a specific partner, with check-in or check-out dates (based on your filter setting) within the selected period.
  • Number of Nights: The total room nights for confirmed and option status bookings associated with a specific partner, with check-in or check-out dates (based on your filter setting) within the selected period.
  • ADR: Average Daily Rate, calculated as the total NET value of accommodation Folio items for confirmed and option status bookings associated with a specific partner, divided by the number of room nights. If 'Include extras' is checked, the NET value of extras is included.

Example ('Include extras' checkbox is unchecked):

Sum Price: 365.72 EUR
Number of Nights: 2
ADR: 365.72 / 2 = 182.86 EUR

  • ALOS: Average Length of Stay, calculated by dividing the total number of room nights by the number of bookings.

Example:

Number of Nights: 2
Number of Bookings: 1
ALOS: 2 / 1 = 2

  • % of Total: The percentage of total bookings attributed to each partner.

Example:

Booking.com Number of Bookings: 1
Total Number of Bookings: 8
% of Total: (1 / 8) × 100 = 12.5%

  • Collection Type: Indicates whether the booking is collected by the hotel (Hotelcollect) or through the OTA (OTA collect). Channelcollect options can be seen in case of reservations arriving from the following partners: Booking.com, Expedia, Agoda.
  • Sum Price: Total NET value of Folio accommodation items. Includes services if 'Include extras' is checked.
  • Hotel Collect: Commission value for Hotelcollect bookings, based on the booked price and the defined commission percentage.
  • OTA Collect: Commission value for OTA collect bookings.
  • Total Commission: Sum of Hotel collect and OTA collect commission values.

Commission is calculated by taking the difference between the Gross Accommodation Folio items and Coupon items (if relevant), then multiplying this value by the Partner commission percentage and dividing by 100.

Example:

Gross Accommodation Folio items: 400 EUR
Coupon: -
Partner commission percentage: 30%
Commission amount: (400 × 30) / 100 = 120 EUR

 

 

Bookings by channels (No Show, Cancelled) table

  • Partner Name: The name of the partner assigned to the reservation. If no partner is assigned, it will be categorized as 'Own sales'.
  • Number of Bookings: The number of cancelled and no-show status bookings associated with a specific partner, with check-in or check-out dates (based on your filter setting) within the selected period.
  • Number of Nights: The total room nights for cancelled and no-show status bookings associated with a specific partner, with check-in or check-out dates (based on your filter setting) within the selected period.
  • % of Total: The percentage of total bookings attributed to each partner.
  • Sum Price: Total NET value of cancellation and no-show fee Folio items. Includes services if 'Include extras' is checked.

Above each table, you will find:

  • Items per page dropdown
  • Search box
  • Menu for column selection

To view detailed data, click on a partner name to open a popup table with an itemized reservation list.

The popup includes summary widgets displaying the number of guests, room nights, sum price, and commission of bookings associated with a specific partner, with check-in or check-out dates (based on your filter setting) within the selected period.

Note that the commission widget is not available for the No Show, Cancelled table.

Export Options

The report can be printed or exported to an Excel file for further analysis.
