Guest communication with GuestAdvisor Tools

As you may already know automated guest communication is an essential part of SabeeApp's Frontdesk module. With GuestAdvisor Tools we rely on this feature even more to let guests know about how GuestAdvisor can help their stay at your property. Let's see what kind of tools we use for this.:

Automated email templates

In SabeeApp we have 2 automated email templates which we schedule for each and every guest after activating the GuestAdvisor module. One is "Online check-in available" and the other is "Online check-in still available". Both email templates can be found at Settings / Email templates / GAT templates menu and it is also possible to edit them. Please learn more about this here.

Online check-in available

This email template is sent out to your guests once online check-in becomes available. You can decide about time interval under Guest Advisor Tools / Settings menu at the Online check-in period before arrival. You can define it in days. It is also important to enable the Enable online check-in slider because without this, guests won't be able to do the online check-in.

Online check-in still available

This email template is used as a reminder to the guest by our system. The template is only sent out 1 day before arrival if the guest has not completed the online check-in until this day. If the online check-in is completed, the template is no longer scheduled for the reservation.

Both email templates will appear at the Detailed reservation page Messages section and you can keep track of the scheduled day here.

IMPORTANT!

  • These email templates currently cannot be turned off!
  • These email messages can be only sent out currently in English.
  • If you have the online check-in available 30 days before arrival and the guests makes a reservation with 15 days before arrival then the "Online check-in available" email template will be sent in the next hour after the reservation is made.
  • If the reservation is made with same day arrival then only the "Online check-in available" email will be scheduled for them, but the "Online check-in still available" template will not.

Other email messages

We also send out some other emails ocasionally to your guests of which you should know about.

Device code

After your guest has completed the online check-in via the GuestAdvisor Mobile application and they would like to book a service or open their room via SmartLock we require a device linking to the reservation to make sure that the email address given during the online check-in really belongs to the guest. This is why we send out a code what the guest will have to type in to the GuestAdvisor app. The email content is the following:

"Dear /%firstname lastname%/

You booked a service at /%hotelname%/ via the GuestAdvisor, your booking is almost done.

To check your identity we kindly ask you to confirm your first booking. Use this PIN /%pincode%/ (4 digit PIN code) to confirm your booking.

This is a one-time action, we won't ask you again to repeat this step.
