How to Set Up and Use the Invoice Email Template

The Invoice Email Template allows you to send invoices to your guests directly from the system in a professional and customized format. Follow the steps below to set it up and use it effectively.


1. Creating the Invoice Email Template

To get started:

  • Go to Settings > Email templates > Invoice
    Here you can create and personalize the email template that will be used when sending invoices.


2. Using Variables in the Template

You can include variables in your template, which will be automatically filled in with details from the reservation's information page.
This helps to personalise each email without the need to edit them manually.


3. Multi-Language Support

Although it's not mandatory to translate the invoice email template into other languages, we strongly recommend doing so—especially if you send invoices to international guests.

  • The system will send the invoice in the same language the guest used during their booking, as long as the template is available in that language.


4. Sending the Invoice Email

Once the invoice is created, you can send it easily:

  • Click on Send invoice.

  • The system will automatically attach the invoice to your previously created email template.

  • Click OK, and the email with the attached invoice will be sent to the guest.
