Working with Invoices

New grouping option for invoice item introduced

Formerly, there was a possibility in the system to group / combine Folio items on the group invoices based on their Folio item category. 

We introduced new a new grouping and re-organised the Set invoice data popup accordingly. From now on, when issueing a group invoice, you will see the following grouping options:

The selectable options explained below:

1. No- choosing this option will mean that the selected Folio items will appear on the group invoice one by one

2. By categories -  choosing this option equals the former " Group / combine Folio items by categories " setting

All invoiced Folio items will be grouped / combined based on their product type, unit price, and VAT%. When two Folio items share the same product category, price, and VAT%, they will be shown combined on the invoice.

Example: If a group comprises two individual reservations with the same accommodation price, only one Accommodation item will be displayed on the invoice. The same principle applies to services; if their category, unit price and VAT% are identical, they will be grouped.

If the minibar consumption for the group includes 3 bottles of Coke and 2 Fanta, only one line will be shown on the invoice as their category (Minibar), unit price (3 TRY) and VAT% (27%) are identical.

3. By reservations and categories - new option

The main rules of grouping by reservations and categories are the same as for grouping by categories.

The difference between the two groupings is that, in this case, we first group Folio items by reservations. This means that under each individual reservation's accommodation items, we list the service items grouped.

 

Example: If a group comprises two individual reservations with the same accommodation price, they will be shown in two separate lines, not grouped. Even though their category, unit price, and VAT% are identical, they belong to two separate reservations. The same goes for services.

As per the individual invoices, the grouping possibility remained the same, when activating the " Group / combine Folio items " toggle in the Set invoice data popup, the system will apply the rule meantioned before, so it will group together the Folio items that share the same unit price, category and VAT % into one category on the invoice:

Example: there are 6 " Mars chocolate " Folio items with 5 % VAT, 1 EUR unit price belonging to Minibar category and 6 more " Twix chocolate " Folio items with 5 % VAT , 2 EUR unit price belonging to Minibar category

Even though, their category and VAT % are the same, since their unit price is not the same, the system will create 2 " Minibar " group items on the invoice:
