To ensure that your guests are informed about the payment information we have created a series of email templates which are being sent out to them automatically. You can review these email templates in the Settings / Email templates / SabeePay templates menu. Right after you activate SabeePay these email templates are going to be scheduled for your guests.
SabeePay email templates
Based on the cancellation and payment policy the system will require an online payment from the guests. To achieve this they will receive email templates to know exactly when and how they can do the necessary transaction.
The email templates are the following:
Payment information email - In this message the system informs the booker about the payment they have to complete via a link which leads to your customer portal. There the booker can check all the information about the necessary transaction they need to complete. The information email is sent out to the guest right after the reservation is made.
Payment reminder email - If the payment is not completed, we send out the reminder depending on your cancelation policy:
- In case the cancelation is relative to the reservation date then the reminder email is sent out 7 days before arrival.
- If the cancelation policy is relative to arrival date then the payment reminder email is sent out to the booker 7 days before the defined deadline.
Payment confirmation email - This email is sent to the booker automatically right after that the payment has been completed on the Customer portal. The language is set to the language the user used the IBE when making the reservation or paying at the customer portal.
If you would like to check the emails' content you can click on the magnifying glass icons next to the templates.
You can also edit the Payment information and Payment reminder emails so you can tailor-make it to your needs. Just click on the pencil icon next to them.
IMPORTANT NOTES:
In case of reservations with flexible policies if you have marked in your Payment policy that the guests will have to pay up on arrival and there is no prepayment needed, then none of these email templates will be sent out to the booker.
If you have received a Virtual Credit Card for a reservation then the system will detect it automatically and will not send out email templates for the guests (as they have already paid on the OTA). Please learn more about reservations with virtual credit card here.
