Service Inventory Management in SabeeApp

If you're offering services with limited availability—such as parking spaces, garages, or rental equipment—it's essential to track how many have been sold. SabeeApp’s service inventory management helps you monitor stock and prevent overbooking for specific types of services.


🧠 When Does Inventory Management Apply?

Inventory tracking is available only for services that meet all the following criteria:

  • ❌ Not compulsory in any rate plan
  • ❌ Not included in the accommodation price
  • ✅ Set as Fixed Price / Room / Daily type

✅ Example: A parking space that guests can book daily during their stay.


⚙️ How to Set Up Stock Management for a Service

  1. Go toSettings → Services
  2. Open the desired service’s profile
  3. Make sure it’s configured as:
    • Fixed Price
    • Charged Per Room
    • Charged Daily
  4. Activate the This service has stock toggle
  5. Set the Total Available Quantity – this is your maximum stock

💡 You can update this number later.

If you lower it and existing bookings exceed the new limit, SabeeApp will warn you with a popup message showing the overbooked dates.


🗓️ Show Stock on Calendar Chart (Optional)

Once stock is enabled, you’ll see the option to display the service on the calendar quick chart.

⚠️ Note: Currently, only one service can be tracked in the calendar chart at a time.

If enabled, you'll see a visual representation of the available stock per day, including any overbookings (displayed in red with negative numbers).


🔍 How Inventory Management Works

➕ Manually Added Reservations

When manually adding a service to a reservation:

  • SabeeApp checks availability for the selected dates
  • If fully available, it adds the service
  • If some days are sold out, you'll see a warning popup
  • You can proceed, and the service will only be added to available days


🛒 IBE Reservations (Online Booking Engine)

  • Services are displayed in the IBE only if available on all dates of the reservation.
  • If any day is sold out, the service is hidden from the booking list.

🌐 Channel Manager (OTA Reservations)

  • Inventory tracking is not supported for compulsory or included services.
  • This means OTA bookings will not respect stock limits for services.

📱 GuestAdvisor (Mobile & Kiosk)

  • Guests can only see and book services that have available stock for the full duration of their stay.
  • Services with partial or no availability won’t appear.

📊 Monitoring Inventory from Calendar View

Once you’ve published a service to the calendar chart, you’ll see:

  • A new extra line showing daily stock levels
  • Real-time availability updates
  • Any oversold dates displayed in red with a negative value (e.g., 1)


📊 Monitoring Inventory from Reports

In case you have multiple services with a fixed inventory, they can be monitored in the Reports / Administration / Stock Management Report.

Service Type: Fixed Price / Room / Daily

Stock Setup: Toggle on inventory, set max quantity

Celandar Monitoring: Optional, only for one service

Manual Booking: Warns and skips sold-out dates

IBE & GuestAdvisor: Only shows available services

OTA Channels: Not supported due to technical limitations

Stock Alerts: Popup appears if new stock is below sold quantity
