Splitting functionality allows you to cut a certain reservation into multiple smaller unit reservations. The splitting can be done on nightly basis. Most commonly, this functionality comes in handy, in case the guest needs to move during the stay from one unit to another.
Other than individual reservations, group reservation members can also be split.
The splitting functionality can be found in the calendar view, above the occupancy chart, indicated with the scissors icon:
Once clicking on the scissors icon, and navigating with the cursor to the reservation that you would like to split, you will see a horizontal line indicating where the split can be applied:
As a general rule, when the split functionality is applied, the system automatically creates a group reservation from the newly created partial reservations. The group name and the group colour code needs to be defined as a last step of the process:
Once the steps are completed, the reservation acts as a group reservation.
Let’s see what happens in the following examples, if a reservation is split.
Individual reservation, no payment and / or invoice is present before the split happens:
Folio items and included type of services and service fees ( that are not present in the Folio table ) will be distributed to the newly created parts of the reservations, based on their scheduled date. Folio items will be automatically routed to the Group Folio.
Example: The reservation originally stands for 4 nights, but after the second night the guest needs to move to an other unit. Reservation is split, group is created and the second half of the reservation is moved to another unit in the calendar view. Both parts of the reservation will have their belonging items appearing in the Services section and in the Folio as well.
Before split:
After split ( both parts ) :
As indicated on the screenshots above, after the split is complete, the following changes can be visible on both parts of the original reservation:
- there is a “ Related bookings “ section appearing on the reservation page, indicating that there is a belonging part to this booking
- the Services section & Folio table contains only those items that are scheduled for the dates applicable to that part of the reservation
- Folio items of the partial reservation are automatically routed to the Group Folio, hence their Routed status. The very same Folio items will appear in the Group Folio as Active status items
Individual reservation, there is a payment and / or invoice ( prepayment or normal ) present before the split happens:
The only difference compared to the previous scenario, is that the existent payment and / or invoice will also be linked automatically to the newly created Group reservation once the split is completed.
This also means that on the individual reservation parts, the formerly created payment / invoice will not be present anymore ( will not be visible in the related section - Invoices / Payment ) it is considered as a group payment / group invoice from this point in, thus will be present on the Group reservation page, under the relevant section.
In case there was only payment created before the split, the Folio items will be routed to the group Folio, their status will be Routed. In case there was an invoice issued as well ( containing the Folio items ), the status of these Folio items after the split will be Group billed ( since the invoice is also considered as a group invoice ).
Individual reservation that is already part of a group reservation needs to be split:
As mentioned before, there is a possibility to split an individual member as well, even though it is already a part of a group reservation. In this case, the system will display a warning message when completing the split:
Other than that, the exact same rules are applicable in this scenario as well that are mentioned above.
