After your guest have already completed the GuestAdvisor Online check-in and scanned their data during the process, or you have scanned the documents with the help of the Front Office Manager application you will be able to report your guests to the VIZA system.
It is important that the VIZA connection module has to be active in the Settings / Subscription menu. Otherwise the data report is not possible.
Step by step guide
1. Open the detailed reservation page of your guests and check the Guest details section.
We have added an extra column for your the guests (not the booker) table with an ID icon. In this colum you will be able to monitor if the ID scan and the VIZA report has already happened for certain guests or not.
We will indicate this with some icons, which can be the following:
- Blue: ID scan has already been completed and there was no modification in the guest details
- Yellow: ID scan has already been completed but some of the details were manually modified
- Purple: ID scan has already been completed and the guest data is being sent to the VIZA system
- Green: ID scan has already been completed and the guest data has been reported to the VIZA system
If you see no icon in the column, that will mean that there was no ID scan completed for the guest.
You will be able to report guest details manually to VIZA system but please bear in mind that this might be only used in case of the guest is under 14 years or the scanner device is not working.
2. Check-in / onboard the guests
If the online check-in is enabled then you will have to Onboard the guest. You can do that by clicking on the dot next to the Onboard stage for 1 second in the Status section.
If you are not using the GuestAdvisor apps then the Check-in status should be set for the reservation.
3. After this a new button will appear: Report to VIZA. You will have to click on it to open the VIZA report window.
In the VIZA report review page, please make sure if all the necessary information has been completed for the guests. You can manually register the ones which are missing from here. If you leave some of the compulsory fields empty, you cannot report the guest.
4. Next step is to select which guest you would like to report to VIZA. You have two options to choose from.
You can use the Report all button (A) to report all the guest to the VIZA system.
Or you can mark the checkbox next to each guest where we have the Report this guest line, and then hit the Report selected button (B).
After that the window will be closed and your part is finished. SabeeApp will automatically forward the guest data to the VIZA system.
You can check out the reported data in the reservation's change log.
In the guest details section you will see that the information is being processed and on the way to the VIZA database. This will be indicated with a purple cloud icon.
If the VIZA report was successfull, then we will show a green icon in the ID column of the guest details.
IMPORTANT NOTICE
If you keep seeing the purple cloud icon for a long time next to your guest's information, please make sure to visit the PMS / VIZA menu where you can find all the errors.
Please note that after reporting the guests to the VIZA system it is no longer possible to scan a new ID with SabeeApp's Front Office Manager application.
